Batching for daily life: bundle tasks and recover lost time

Your Organizing Studio Tips

I believe being systematic in our routines can be helpful to see progress in our habits and avoid procrastination.

Are you feeling like you can't make it through the day with all your pending activities? Or like the intention of accomplishing your to-do list is there but time seems to go too fast?

Batching may be the solution. It is about grouping similar tasks and setting a specific time frame for doing them as a block to save time and energy.

It also goes pretty well if combined with day theming. That means assigning a topic of focus for the day.

How to do this in your day to day?

🔹 Emails and messages: Answer them all at one time of the day instead of constantly checking on your inbox.

🔹 Shopping and errands: Organize your to-dos to get them done in one outing, specially if you need to go to more than one location.

🔹 Smart Cooking: Prepare multiple meals at once, or even cook different proteins to facilitate future meal preparation, and optimize time in the kitchen.

🔹Household chores: Instead of cleaning a little bit each day, group tasks by type and do them all at once. Ex: bathrooms on Friday, rooms on Sunday, kitchen on Monday, etc.

Why it works?

✅ Reduces the need to shift focus constantly and helps you concentrate better.

✅ More efficient use of your time by reducing interruptions and mental fatigue.

✅ Helps you feel more productive and less burned out.

✅ It keeps you on track and makes your day more manageable.

✅ Takes a step further if combining it with day theming.

And now I would like to explain further about assigning themes in combination with batching tasks. So the idea is to set aside days for certain activities, like Mondays for meetings, Tuesdays for the creative stuff, Wednesdays for admin tasks, and so on.

This allows you to go further into a specific type of work and not being interrupted by unrelated tasks.

Challenges?

Task batching isn’t perfect. The main challenge is that it still requires you to do some upfront planning. If you’re not careful at grouping tasks, things can get complex real quick. Not every task is going to fit well into a batch.

Batching might also not be flexible enough in every situation. Some tasks can randomly pop up and disrupt your tight schedule. This makes it a bit harder to adapt to unexpected changes. Balance the number of tasks in each batch so that you can avoid taking on more than you can handle.

It’s all about experimenting with different methods to find what works best for you each time, as there is no one-size-fits-all solution to task batching. But when planned right, it can definitely be a powerful tool.
